MINUTES OF THE EC MEETING HELD AT 17:00 HOURS ON THE 16 TH MARCH, 2023 AT BOAT CLUB, DHAKA

Item 1: Opening Address
1. The President welcomed all participants of the meeting and appreciated all for their presence especially, who came from Gopalganj. He urged upon all to contribute so that GEMSSA can fulfill its role and task. He then invited the GEMSSA Secretary to continue with the proceedings.
Item 2: Agenda for the Meeting
2. The Secretary thanked all participants and informed the house that there were no formal agenda for the meeting. However, he invited all members to put forward their points to make GEMSSA more progressive. He then urged Md. Anisuzzaman Khan, GEMSSA Vice President to go over the minutes of the last meeting.
Item 3: Presenting Minutes of the Meeting by Md. Anisuzzaman Khan
3. Md. Anisuzzaman Khan thanked Meeting President Dr. Benazir Ahmed, BPM BAR for arranging the 1st EC Meeting, 2023. He requested the Secretary to circulate the minutes of the EC meeting as soon as possible (after the consent of the President) which would assist concerned members for timely accomplishment of their tasks.
Decision. GEMSSA Secretary will circulate the minutes of the EC meeting as soon as possible

Item 4: Membership Status of Some Existing Members
4. General discussion took place regarding some GEMSSA members whose eligibility for membership was doubtful. The Secretary informed the doubtful members are identified. The President reminded all to remain vigilant in future so that this was not repeated (all documents must be checked before accepting applications for membership). Muhammad Muid Hasanat, Executive Member informed the House that an initiative was taken to make the GEMSSA membership Application process easy and convenient with real time SSC certificate verification through our GEMSSA website. For that a “Permission for API integration” needed to be obtained from the Chairman, Board of Intermediate and Secondary Education, Dhaka. He also informed the House that the application for the said API Integration was submitted long before to Teletalk Bangladesh and waiting for the Go-Ahead from the Chairman. However, we need to arrange a telephone call by the Chairman, Board of Intermediate and Secondary Education, Dhaka to the Chairman Teletalk requesting him to advise concerned Team of Teletalk to provide the requested integration. The President appreciated the effort and asked Muhammad Muid Hasanat to pursue the matter and assured his cooperation for the required permission. Md. Anisuzzaman Khan reminded that rest amount must be realized from those whose membership status would be changed from Life members to Honorary members and membership of those to be cancelled who cannot provide their SSC or equivalent certificates. GEMSSA Secretary shall serve notices accordingly to all suspected members immediately.
Decision. The President asked Muhammad Muid Hasanat to pursue with the verification process issue and also directed the Secretary to serve notices to all doubtful members to send their SSC/equivalent certificates to ascertain their membership status and there after take actions as per GEMSSA constitution either to:
a. Change the membership status (rest amount must be realized from those whose membership status would be changed from Life members to Honorary members), or
b. Cancel the membership

Item 5: ID Card for GEMSSA Members
5. Muhammad Muid Hasanat informed the House that 03 different options were evaluated and found the option with “NFC” capability would be best for GEMSSA. The cost would be around Tk-200/- per card. The President advised him to share the summary to the “EC WhatsApp group” for opinions and place it in the next EC meeting for finalization.

Item 6: GEMSSA Office
6. GEMSSA Secretary updated the House about the GEMSSA office issue.
Decision. The President instructed the Secretary to establish the GEMSSA office within one month in a suitable location. He also asked the Secretary either to:
a. Talk formally to Mayor, Gopalganj City Corporation for 02 rooms in the Super Market (Public Hall Complex) constructed by Gopalganj City Corporation, or
b. Hire rooms in Sheikh Fazlul Haque Mani Stadium complex, or
c. Any other location.
Action: GEMSSA Secretary and Office Secretary
Item 7: Fixed Deposit/Saving Certificate
7. GEMSSA Treasurer apprised the House that there was a deposit of BDT 7,34,000/- (Seven Lac thirty four thousand) in United Commercial Bank, Gopalganj Branch and out which BDT 6,00,000/- (Six Lac) could be fixed deposited in the same Branch for six months’ term. The Secretary informed that the amount might be required for establishing GEMSSA office in Sheikh Fazlul Haque Mani Stadium complex.
Decision. The amount available in GEMSSA fund must be fixed for one year term provided it was not required for establishing the GEMSSA office. However, the requirement of the amount for the establishment of GEMSSA office must be settled within one month.

Item 8: GEMSSA Trust
8. Muhammad Muid Hasanat apprised the House that the policy for operating GEMSSA Trust was already drafted. The President directed to start GEMSSA Trust activities as soon as possible.
Decision. The committee must do the needful to start activities as soon as possible.

Item 9: Holding of GM ( mvaviY mfv) and GEMSSA Reunion
9. Elaborate discussion took place on the issues and the President opined that next GM and GEMSSA Reunion might be arranged on 4 November, 2023. All EC members accepted the proposal.
Decision. Next GM and GEMSSA Reunion will be arranged on 4 November, 2023A at Gopalganj.
Action. All EC members
Item 10: Reunion for GEMSSA members
10. The President opined that an Eid Reunion might be arranged on 29th April-2023. Elaborate discussion took place on issue.
Decision. It was decided that an Eid Reunion would be arranged on 29th April 2023 at Dhaka Boat Club Limited, Birulia. Only GEMSSA members, their spouses and children would be allowed to participate. The registration is to be completed by 20 April 2023. The subscription would be as below:
a. Members/spouse/ children (12 years and above) - BDT 1400/-
b. Children below 12 years - BDT 700/-
c. Driver - BDT 300/-

Item 11: Placing Wreath at the Mausoleum of the Father of the Nation and at the Graveyard of Saint Mathuranath
11. Discussion took place about placing wreath at the Mausoleum of the Father of the Nation and at the Graveyard of Saint Mathuranath.
Decision. It was decided that EC members would place wreath at the Mausoleum of the Father of the nation and at the Graveyard of Mathuranath during the next Reunion.
Action. All EC members
Item 12: Closing Address
12. The President of the meeting thanked all again for their presence in the meeting. He then declared the closure of the EC meeting and requested all to join him in the Dinner.
